Coordinator Terms

These terms apply to organisations and people who coordinate screenings on screenme.science: they buy tests, create groups and invite participants. They apply together with our Privacy Policy and our Data Processing Terms. You accept them before you create a group, buy tests or use the coordinator panel. If you accept them for an organisation, you confirm that you are authorised to do so, and "you" means that organisation.

1. What screenme.science does, and what it does not do

screenme.science ("we", "us") – email: [email protected].

We provide one thing: verification of the test procedure. The app records how a participant carries out an at-home rapid test, checks that the steps were carried out as instructed, compares the participant's face in the recording with their reference photo, and issues a timestamped record. Anything that does not match is flagged for a person to review.

screenme.science is not a medical device. screenme.science is for informational purposes only and does not constitute professional medical advice, diagnosis or treatment. It does not make a diagnosis, give medical advice or guarantee that a test, a test result or a verification is accurate. Test devices are made by third-party manufacturers, and a rapid test can give a false result. Any result shown in the app is a reading of the test device, not a diagnosis.

2. You are responsible for how screenings are used

The party that pays for a screening is responsible for its use. As a coordinator, that is you.

You decide whether to use screenings, for whom, how often and for what purpose.

You are responsible for making sure that your use is lawful in your country and your sector — for example under employment, education, childcare, health and data protection law. We do not assess whether your use is lawful and we do not give legal advice about it.

You are responsible for the decisions you take on the basis of a screening, a verification status or a result. Do not base a decision with serious consequences for a person on a screening alone; allow for errors, give the person a chance to respond, and have the result confirmed by a laboratory or a medical professional where it matters.

3. Identity check before the first screening

Before their first screening, every participant — members of your group and visitors who pay through your visitor link — verifies their identity once with Didit (didit.me), our identity verification service: they photograph an identity document and take a selfie, which Didit compares with the photo on the document. Right after the check passes, they take a reference photo of their face, which our face recognition compares once with the portrait from the identity document and, at every later screening, with their face in the recording. There is no second identity check, and the check costs you and the participant nothing extra. Members who joined before the identity check was introduced complete it before their next screening.

You do not approve a member's face photo or name, and you do not see their reference photo. For each member you see their name and whether their identity was verified ("Identity verified").

The identity check confirms that the identity document and the selfie match, and that the reference photo matches the document. It does not confirm anything else about the person.

4. Your participants: legal basis, information and consent

For the participants you invite, you are the controller of their personal data and we process it on your behalf, as set out in our Data Processing Terms.

You are responsible for having a legal basis for the screening you ask them to take, for informing them about it, and for obtaining any consent that is needed — including consent from the person with parental responsibility where a participant is a child. Where you rely on consent, it has to be freely given.

Every participant also accepts our Member Terms and gives, or refuses, a separate consent to face recognition in the app. That record supports your obligations; it does not replace them.

A participant who refuses or withdraws consent to face recognition cannot take screenings that require identity verification. You are responsible for offering any alternative that the law requires of you.

5. What you can see

For each member you see their name and whether their identity was verified. For each screening you see whether it was completed and when, whether it was verified, and its result. You never see a member's identity document, their reference photo, the video of their screenings or any image of their face — only a cropped photograph of the test cassette, so that you can read the result. For visitors, section 6 applies.

You may use this information only for the programme you run, keep it confidential, and give access to it only to people in your organisation who need it.

6. Client groups and visitor links

With a client group, its link or its QR code you can offer people outside your organisation — for example your clients, guests or event participants — screenings that they pay for themselves. These rules apply to client groups and visitor links.

Price. You set the price per screening for each client group: at least 3.00 EUR. You can change it at any time; a new price applies to payments made after the change, never to earlier ones. The client pays us directly, at the price shown before payment. You pay nothing for a screening bought through your link, and you must not charge the client anything further for the screening or for sharing its result with you.

Your commission. For every paid screening a client uses, you receive 30 % of the price the client paid; we keep 70 % and pay all card and payment fees from our part. A screening counts as used when the client has taken it and the recording has been uploaded; paid screenings that are never used earn nothing. If a payment is refunded or charged back after the screening was used, the commission on it is deducted from your next payout.

Payouts. Commission is paid once a month, on or after the 5th, for the previous month, by bank transfer to the account you register with our payment provider Stripe (Stripe Connect); by registering you accept Stripe's Connected Account Agreement. Amounts under 10.00 EUR are carried forward to the following month. Commission earned before payouts are activated for your account is kept and paid with the first payout.

Credit notes and tax. You agree that we issue a monthly self-billed credit note (Gutschrift) for your commission, based on the business details you give us in the app. You are responsible for those details being correct and complete and for your own taxes, including any VAT on the commission. If you do not agree to self-billing, tell us before your first payout.

A client is not a member of your group. The identity check in section 3 applies to clients too, but you see only their name and "Identity verified" — never their identity document, their reference photo or any other image of their face.

You receive only what the client agreed to before paying: their name, "Identity verified", whether the screening was done and its date and time, whether it was verified, its result, a cropped photo of the test cassette and the price paid. You never receive their identity document, any image of their face or the video. A client may instead share a result from an earlier screening; you then see when that screening was done and when it was shared, and you decide yourself whether it is recent enough for your purpose. You see only what was done through your own client group: screenings a client takes for any other company are never shown to you.

The client controls their results. They can withdraw your access to a result at any time; you then see "Access withdrawn by the visitor" and no longer see the result. You must not ask a client for more data than the link grants — for example their identity document, a face photo or the video — and you must not make their visit conditional on it.

You can pause your link (no one new can join or pay while it is paused), replace it with a new link (the old one stops working) and remove a client from your client group (they can then no longer pay or screen for you). This never affects their screenings for anybody else.

For screenings through a client group or visitor link we process the client's data as controller, not on your behalf. Sections 2 and 7 apply to how you use what you receive.

7. Acceptable use

You must not screen anyone without their knowledge, submit falsified or manipulated recordings, pressure a participant to manipulate a test, use the service to harass or unlawfully discriminate against anyone, or try to bypass, probe or overload the service.

A coordinator account is not screened. To be screened yourself, use a separate member account.

Keep your sign-in secure. You are responsible for what is done with your account.

8. Tests, credits and payment

Tests and credits are paid for in advance, at the price shown when you buy them. Tests and credits do not expire. They have no cash value and cannot be transferred, except where the app offers it.

Tests that have been used are not refunded. Unused tests and credits are not refunded either, except where the law requires it or where we could not provide the service because of our own fault.

Payments are handled by a payment provider. It receives no screening data.

9. Availability and changes to the service

We work to keep the service available, but we do not promise that it will be available without interruption. We may change or improve features.

10. Liability

We are liable without limitation for damage caused intentionally or by gross negligence, for injury to life, body or health, under the German Product Liability Act (Produkthaftungsgesetz), where we have given a guarantee, and where we have fraudulently concealed a defect.

For slight negligence we are liable only if we breach an essential obligation — an obligation whose fulfilment makes the proper performance of the agreement possible in the first place and on whose fulfilment you may regularly rely — and then only for the damage that was foreseeable and typical for this kind of agreement when it was made. Within that, our total liability for all claims arising from the service is limited to the amount you paid us for it in the 12 months before the claim arose. Otherwise we are not liable for slight negligence.

Within these limits we are, in particular, not liable for decisions that you or others take on the basis of a screening, a verification status or a result, for the accuracy of third-party test devices, for whether your use of the service is lawful, or for whether a member is who they say they are.

These limits also apply to our employees, representatives and agents.

11. Claims arising from your use

You will indemnify us against claims by third parties — including participants and authorities — that arise because your use of the service was unlawful, or because you did not have the legal basis or the consent it required, to the extent that you are responsible for that. This includes reasonable costs of legal defence. We will tell you about such a claim promptly and let you take part in defending it.

12. Data protection

How we process personal data is described in our Privacy Policy and, for the data we process on your behalf, in our Data Processing Terms. A signed data processing agreement under Article 28 GDPR is available on request.

The media of a screening — its video, the frames taken from it, the face photos taken during it and the photo of the test cassette — is deleted as follows.

A screening with no captured fraud attempt: its media is deleted when the next day starts in the group's time zone, but never before the screening has its final result.

A screening with a captured fraud attempt: its media is kept for 3 days after the decision, then deleted.

A screening with an open dispute: its media is kept as proof until the administrator decides; then the 3-day rule applies.

Only media is deleted. The screening record — its date, code, result, and FAIL where fraud was confirmed — is kept for the history and certificates.

13. Ending the agreement

You can stop using the service and close your account at any time. We may suspend or close an account after a serious breach of these terms, with a warning first where that is reasonable. Screening records are kept for the retention periods in our Privacy Policy even after an account is closed.

14. Changes to these terms

We may change these terms, for example when the service or the law changes. We will show you the new version before it applies and ask you to accept it. Until you do, you cannot continue to use the coordinator panel. If you do not accept it, you can close your account.

15. Applicable law

These terms are governed by the law of Germany, where the operator is established, and the courts of Germany have jurisdiction, unless mandatory law provides otherwise. If you use the service as a consumer, you also keep the protection of the mandatory rules of the country where you live and may bring proceedings there. If a provision of these terms is invalid, the rest remain in force.

Consumer dispute resolution: we are not obliged and not willing to take part in dispute resolution proceedings before a consumer arbitration board (§ 36 of the German Consumer Dispute Resolution Act, VSBG). The European Commission's online dispute resolution platform was closed on 20 July 2025.

16. Additional terms for users in the United States

This section applies only if you live in the United States. It adds to the rest of these terms and does not reduce any right you have under the law of the European Union or of Germany. Where it conflicts with another section, this section applies to you.

No medical advice. screenme.science is not a healthcare provider and does not provide medical advice, diagnosis or treatment. Using the service does not create a provider–patient relationship between you and us, or between you and anyone else through us. screenme.science has not been cleared or approved by the U.S. Food and Drug Administration (FDA). If you think you or someone else may have a medical emergency, call 911 immediately.

HIPAA. We are not a "covered entity" or a "business associate" under the Health Insurance Portability and Accountability Act (HIPAA). You must not use the service for a purpose regulated by HIPAA — in particular to create, receive, maintain or transmit protected health information on behalf of a covered entity — unless we have first signed a separate written agreement with you that covers it.

Your responsibilities under US law. As a coordinator — for example an employer or a school — you are responsible for complying with the federal, state and local laws that apply to your screening programme, including employment and labour law, the Americans with Disabilities Act (ADA), the Family Educational Rights and Privacy Act (FERPA), state laws on drug, alcohol and health testing, and state biometric-privacy laws, and for giving your participants every notice and obtaining every consent those laws require of you.

DISCLAIMER OF WARRANTIES. TO THE MAXIMUM EXTENT PERMITTED BY THE LAW OF YOUR STATE, THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE", WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED OR STATUTORY, INCLUDING ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT AND ACCURACY, AND ANY WARRANTY THAT THE SERVICE OR ANY VERIFICATION WILL BE UNINTERRUPTED, ERROR-FREE OR CORRECT.

LIMITATION OF LIABILITY. TO THE MAXIMUM EXTENT PERMITTED BY THE LAW OF YOUR STATE, WE ARE NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE OR DATA, ARISING FROM OR RELATED TO THE SERVICE, AND OUR TOTAL LIABILITY FOR ALL CLAIMS ARISING FROM OR RELATED TO THE SERVICE IS LIMITED TO THE AMOUNT YOU PAID US FOR IT IN THE 12 MONTHS BEFORE THE CLAIM AROSE.

Some states do not allow the exclusion of implied warranties or the limitation or exclusion of certain damages, so some or all of these exclusions and limits may not apply to you, and you may have other rights that vary from state to state.

Informal dispute resolution first. Before you bring a claim against us, you agree to email [email protected], describe the claim and what you are asking for, and try in good faith to resolve it with us informally for 30 days from that email. We will do the same before we bring a claim against you. This does not stop either side from bringing a claim in small-claims court or from asking a court for urgent relief to stop ongoing harm.

Children. The service is not directed to children under 13. A child under 13 may be screened only through an organisation or a parent or legal guardian that has given verifiable parental consent as required by the Children's Online Privacy Protection Act (COPPA). We do not knowingly collect personal information from a child under 13 in any other way; if you believe we have, email [email protected] and we will delete it.
